1. Acceptance of Terms

Welcome to TranscribePro (hereinafter "TranscribePro", "we", "us", or "our"). These Terms of Service ("Terms") govern your access to and use of our AI-powered transcription services, including audio and video transcription, AI summarization, and related features, available at https://transcribepro.com (the "Service").

By creating an account, purchasing credits, or otherwise using the Service, you confirm that you: (a) are at least 18 years of age; (b) have read, understood, and agree to be bound by these Terms; (c) agree to our Privacy Policy; and (d) are authorized to enter into this agreement on behalf of yourself or any organization you represent.

Important: If you do not agree to these Terms, you may not use the Service. Continued use after any update constitutes acceptance of the revised Terms.

2. Description of Service

TranscribePro provides an AI-powered platform that allows users to convert audio and video content into text transcriptions. Our service includes:

  • Speech-to-text transcription using AI technologies
  • Support for 120+ languages
  • Speaker detection and identification
  • AI-powered summarization
  • Multiple export formats (TXT, Markdown, SRT, VTT)
  • Import from various platforms (YouTube, TikTok, Spotify, etc.)

2.1 Nature of Service

The Service is a digital intangible product. Service access is granted immediately upon payment confirmation. Due to the immediate delivery nature of digital services, refunds are subject to specific limitations as described in Section 7.

2.2 AI Model Dependency

This service uses third-party AI model providers, including Xiaomi MiMo (ASR for speech-to-text transcription), MiniMax (text generation for AI summarization), and Qwen VL (OCR for image/pdf processing). The performance and availability of our service may be affected by these providers' operational status. We will notify users promptly in case of significant interruptions.

2.3 AI Output Accuracy

AI-generated content may contain errors or inaccuracies. You are responsible for reviewing and verifying output content before relying on it in any professional context.

3. Account Registration

To use our Service, you must:

  • Be at least 18 years old
  • Provide accurate and complete information during registration
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorized access
  • Ensure your billing email address remains valid

You are responsible for all activities under your account. If you discover unauthorized use, contact security@transcribepro.com immediately.

If you are registering on behalf of a company or organization, you confirm that you are authorized to enter into this agreement for that entity.

4. Credits & Purchase Plans

Our service uses a credit-based system. Users can purchase credit packs to access transcription and AI features. Current available credit packs and pricing are listed on our Pricing page.

Credits are consumed when you use transcription services. Different features may consume different amounts of credits based on audio/video duration and complexity.

We reserve the right to modify credit packs, pricing, or feature availability at any time.

5. Billing & Payment

5.1 Single Purchase Authorization

Each credit purchase is a one-time transaction. Completing a purchase authorizes TranscribePro to charge your payment method for the amount displayed at checkout.

5.2 Auto-Recharge (Optional)

If enabled, auto-recharge authorizes TranscribePro to automatically charge your saved payment method when your credit balance falls below your configured threshold. You may disable auto-recharge at any time in your account settings.

5.3 Taxes

Unless otherwise stated, all prices exclude applicable taxes (including VAT, GST, sales tax, etc.). We will collect and remit applicable taxes as required by law.

6. Credit Validity & Account Termination

6.1 Credit Expiration

Purchased credits expire 12 months from the date of purchase unless otherwise stated. We will send reminders before credits expire.

6.2 Account Termination

If your account is terminated (by you or us), unused credits will be retained for 30 days after termination. After this period, unused credits will expire and will not be refunded unless required by applicable law.

7. Refund Policy

7.1 General Policy

Consumed credits are generally non-refundable. The following exceptions apply:

  • 7-Day Unused Credits: Full refund if credits are unused within 7 days of purchase
  • Duplicate Charges: Full refund for duplicate charges due to billing errors
  • Legal Rights: Statutory withdrawal rights (e.g., EU 14-day cooling-off period) are preserved for first-time purchasers, but not after first use

7.2 How to Request a Refund

To request a refund, contact us at refunds@transcribepro.com with your account email and transaction ID. We will respond within 2 business days and process eligible refunds within 5-10 business days.

7.3 Non-Refundable Items

  • Credits already consumed
  • Credits purchased more than 7 days ago and already used
  • Accounts terminated due to Terms violations

8. Billing Disputes

If you believe a charge was made in error, please contact us at billing@transcribepro.com before contacting your bank. We commit to responding within 2 business days and resolving confirmed billing errors within 5 business days.

9. Content Ownership

You retain all rights to the content (audio, video, and resulting transcriptions) you process through TranscribePro. By uploading content, you represent that you have the necessary rights to do so.

9.1 Input Content License

By submitting content to our Service, you grant TranscribePro a limited, non-exclusive license solely for the purpose of providing the Service to you. We will not use your input content for AI model training without your explicit consent.

10. Acceptable Use Policy

10.1 Permitted Uses

You may only use the Service for lawful purposes consistent with these Terms, including personal productivity, business automation, research, and development activities.

10.2 Prohibited Uses

You agree NOT to use the Service to:

  • Generate illegal, defamatory, harassing, or fraudulent content
  • Create or distribute deepfake content impersonating real individuals
  • Generate content involving minors in any unsafe situations
  • Create malware, phishing content, or cyberattack tools
  • Infringe on third-party intellectual property or privacy rights
  • Bypass or interfere with platform security features
  • Resell or redistribute access without written approval
  • Use AI output as professional advice (medical, legal, financial) without verification
  • Generate spam or fraudulent content
  • Use jailbreak prompts to circumvent safety filters
  • Violate any applicable laws, regulations, or card network rules

10.3 AI-Specific Prohibitions

In addition to general prohibitions, given the AI nature of our Service, you explicitly agree NOT to:

  • Use inputs, outputs, model responses, or any derivative data to train, fine-tune, benchmark, distill, or otherwise develop any AI/ML model that competes directly or indirectly with TranscribePro
  • Systematically scrape or collect model outputs at scale for purposes beyond your authorized personal use
  • In harmful contexts, present AI-generated content as work of human professionals (licensed doctors, lawyers, or financial advisors)

11. Data, Privacy & Security

Your use of the Service is governed by our Privacy Policy, available at https://transcribepro.com/privacy. Payment card data is processed exclusively by our PCI-DSS-compliant payment processor (Waffo Pancake) and is not stored on our servers. Account data is retained for 90 days after cancellation, then deleted.

12. Disclaimer & Limitation of Liability

12.1 Disclaimer

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT ANY WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR AI OUTPUT ACCURACY.

12.2 AI Content Disclaimer

⚠️ AI Content Disclaimer: Output from our AI systems may be inaccurate, incomplete, or outdated. Do not use it for legal, medical, financial, or other professional advice. Always verify with qualified professionals before acting on AI-generated content.

12.3 Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, TRANSSCRIBEPRO SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES. OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.

13. Term & Termination

These Terms remain effective during your use of the Service. We may suspend or terminate your account immediately if you materially breach these Terms, are suspected of fraud, or if required by law. If we terminate for reasons not caused by your breach, we will prorate-refund any prepaid unused credits. You may delete your account at any time by contacting support@transcribepro.com.

14. Governing Law & Dispute Resolution

These Terms shall be governed by applicable laws. Before initiating formal proceedings, please contact us at legal@transcribepro.com to attempt informal resolution. Unresolved disputes shall be submitted to binding arbitration in accordance with applicable rules.

15. General Provisions

We may update these Terms at any time. Material changes will be communicated at least 14 days in advance via email. Continued use constitutes acceptance of revised Terms. If any provision is found invalid, remaining provisions remain fully effective. These Terms, together with the Privacy Policy, constitute the complete agreement between you and TranscribePro.
